With the<a href="http://www.boston.com/travel/explorene/specials/summer/"> joys of summer</a> now here, <a href="http://www.ehow.com/how_5323612_stay-productive-work-during-summer.html">working efficiently</a> has become a challenge.  We’ve put together some helpful communication tips to stay productive while working from home or on-the-go.</p>
<p>When <a href="http://www.microsoft.com/atwork/remotely/workremotetips.aspx">working remotely</a> from the office it is important to have the proper communication tools so your colleagues, partners and customers can contact you easily.  Here are a few suggestions:</p>
<ul>
<li> <a href="http://www.syncing.net/en/home.html">Sync</a> your Outlook to each device used for work – your iPhone, work PC, laptop.</li>
<li>Enable file sharing on these machines, as well.</li>

<li>Consider using <a href="http://www.aim.com/">instant messaging</a> or <a href="http://www.skype.com/intl/en-us/home">Skype</a>.</li>

<li>Share your contact details with those who need to reach you – email, mobile number, screen names, etc.</li>
</ul>
<p>While you’re working inside and teased by the beautiful sunshine, keep these five tips in mind to stay focused:</p>
<ul>
<li> Establish regular hours—as if you are ‘at your desk’.</li>
<li>Prepare for the following day</li>
<li>Try to limit any distractions</li>
<li>Take breaks</li>
<li>Focus on goals and objectives</li>

The plethora of communications channels – conference calls, e-mail, online chats &#8212; has made scheduling appoints easier than ever. Perhaps too easy, in fact. These days, we <a href="http://www.timethoughts.com/timemanagement/PTWorstPractice_OverschedulingAndOverorganization.htm">regularly overbook</a> ourselves with back-to-back conference calls, face-to-face conversations, online chatter, e-mail, and more. Our thinking, of course, is as long as many of the meetings are online it should be a breeze to bounce from one to the other. But how many times has an <a href="http://www.sitepoint.com/blogs/2009/10/08/how-to-take-control-of-your-time/">overly ambitious</a> schedule backfired on you?<br />
<br />
Maybe you weren’t as prepared for a meeting as you should have been or a meeting didn’t correspond to your grand plan and took longer than expected, making you late to the rest of your meetings.  It’s  happened to us all. This <a href="http://www.scotthyoung.com/blog/2008/04/02/20-tips-to-survive-when-you%E2%80%99ve-overloaded-your-schedule/">schedule overload</a> is <a href="http://www.intensefocus.com/Stress/Over-Scheduling-and-Its-Effects-on-Stress-Levels.html">compounded </a>when teams are involved and multiple schedules are juggled.  Not only do you have to coordinate with various schedules, but team members can unwittingly schedule an important meeting when another key team member has a conflict.<br />
<br />
Of course, the <a href="http://www.syncing.net/en/home.html">Syncing.net team</a> suggests simply <a href="http://www.syncing.net/en/download/syncingnet-20.html">downloading </a>syncing software so that all team members have access to each other’s calendars – <a href="http://www.career-success-for-newbies.com/time-management-in-the-workplace.html">mitigating over scheduling</a>. But in addition to this, there other things you can do:<br />
<br />
-	Leave 30 minutes between online/phone meetings. You may not think you have time for this, but it will be worth its weight in gold. This gives you a cushion between meetings or some prep time before the next one. If this absolutely isn’t possible, try to do all the prep before the string of meetings start. You should try to leave an hour between face-to-face meetings, unless they are all in the same location. Then apply the 30 minute rule.<br />
 <br />
-	Have time carved out for meetings each day. Also for reoccurring meetings, try to schedule them at the same time each week/day. This makes it easier to manage your schedule and slot in the inevitable, unexpected surprise meeting.<br />
<br />
-	Choose one to three people to be “vitals” on the team. These are the people whose schedules matter most with regards to conflicts. If one (or all) of those in this category can’t make it, consider rescheduling. Otherwise, accept that not all meetings require all hands.  </p>

The piece points on some common communication and collaboration hiccups between the two camps.<br />
<br />
Among them, remote workers feel like they only <a href="http://howto.techworld.com/sme/3210532/how-to-manage-remote-workers/">hear from the office</a> when there’s a problem, all their communication is funneled through a manager, they’re missing small talk, and resent getting group emails about donuts or bagels in the kitchen. For those in the office, the complaints range from resenting the stay-at-home workers, having to use electronic communications with others in the office simply to keep remote workers in the loop, getting extra work because they’re in the office, and feeling like managers trust them less.<br />
<br />
But this isn’t how it has to be. With better collaboration and communication, you can <a href="http://blogs.msdn.com/b/techleaders/archive/2009/01/05/managing-remote-employees-part-3.aspx">eliminate friction </a>between remote and officer team members. Here are some tips:<br />
<br />
-	Make it easy for remote employees to get to know their office team workers. Incorporate interactive exercises during conference calls that foster collaboration between office and remote workers.<br />
<br />
-	During <a href="http://blogs.techrepublic.com.com/10things/?p=268">long conference calls</a>, office workers may resent the remote workers, who they imagine have more freedom to tune out. Engage the remote workers specifically during the call, so office workers don’t feel like they’re getting a free ride.<br />
<br />
-	Keep office perks fair. If you treat office workers to free pizza because of a job well done, send a gift card to remote workers. These little gestures help keep the teams feel more connected and less like one or the other has the advantage.<br />
<br />
-	 Encourage remote and office workers to communicate. This can be as simple as <a href="http://www.syncing.net/en/home.html">syncing their Outlooks </a>so both are aware of the other’s calendar and updates to shared documents. This prevents any unwelcome surprises, which seem to cause more problems when they come from someone who doesn’t work in the same building.</p>
