O-Tip of the day: Save time with a Distribution List

Are you familiar with the Distribution List in Outlook? The list is just practical and save lots of time when you often send an e-mail to a given set of people. Because of the distribution list, you do not list individually the e-mail addresses of the recipient every time.

How to set up a Distribution List in Outlook


1. Select File – New – Distribution List from the menu. Alternatively, hit Ctrl-Shift-L (think list).



2. Type the desired name under Name, e.g. Project Marketing. The list name is what you will use to address messages to the list.

3. Now, you can add new members immediately using the Add New and Select Members buttons.



4. Then click Save and Close.

How can I send a message to the Distribution List


1. Open a new e-mail message in Outlook and click the button To.

2. A dialog box is opened in which your distribution list is already listed. Highlight your distribution list and click the button To. Then click OK. Now you can send the message like a “normal e-mail”.


How to edit your Distribution List


You want to add a new member to your Distribution List? Or you want to delete an address or change an existing one? No problem:

1. Click the Contacts folder.



2. Dopple-click on the desired distribution list. The same dialog box as in setting up a Distribution List will opened and you can change individually your list.



You see, a Distribution List will save you a lot of time – not only in the business field. Also for private purposes, such as if you like to send regular e-mails to your friends.

If you don’t want, that your recipients see all e-mail addresses in your Distribution List, use the BCC feature. By sending the e-mail click the button BCC instead of To. The rest is as in the second chapter, with only one difference: The recipient sees only his own email address in the recipient list.
